Initial Referral & Inquiry

Contact us by phone, email, or through your healthcare provider. We accept referrals from:

Letter of Motivation & Clinical Assessment

We obtain the Letter of Motivation (LOM) from your referring doctor, then dispatch our pre-admission clinical assessor to evaluate your needs. Required documentation includes:

Medical Documentation
  • Letter of Motivation from referring doctor
  • Recent medical history and diagnosis
  • Current medications list
  • Recent hospital discharge summary (if applicable)
  • Relevant test results and imaging reports
  • Current functional status assessment
Clinical Assessment Visit
  • Pre-admission clinical assessor visits patient
  • Comprehensive needs evaluation
  • Review of rehabilitation goals
  • Assessment of suitability for programs
  • Discussion with patient and family

Medical Aid Authorization

While conducting the clinical assessment, we simultaneously request authorization from your medical aid:

Insurance Processing
  • Submit authorization request to medical aid
  • Provide clinical motivation and LOM
  • Medical aid/insurance details and card verification
  • Await approval confirmation
  • ID document or passport verification
Administrative Requirements
  • Next of kin contact information
  • Proof of residence
  • Consent forms completion
  • Hospital policies acknowledgment
  • Treatment authorization forms

Approval & Admission Coordination

Once medical aid authorization is approved, we coordinate your admission with all parties:

Notify Referring Hospital Confirm transfer arrangements and discharge coordination
Notify Referring Doctor Inform physician of admission approval and date
Admission Date Scheduled Coordinate and confirm admission date and time with all parties
Room Assignment Prepare your accommodation and care plan

Admission Day

On your scheduled admission day, please arrive between 10:00 AM - 12:00 PM. What happens:

Welcome & Check-in Reception registration
Medical Assessment Doctor evaluation
Room Orientation Settle into your room
Meet Your Team Introduction to staff

What to Bring

Pack these essentials for your stay at Royal Hospital

Personal Items
  • Comfortable clothing (loose-fitting, easy to put on)
  • Non-slip shoes or slippers with backs
  • Sleepwear and undergarments
  • Toiletries and personal care items
  • Eyeglasses, hearing aids (if used)
  • Cell phone and charger
Medical & Documents
  • All current medications in original containers
  • Medical aid card and ID document
  • List of allergies and medical conditions
  • Contact information for family/caregivers
  • Any assistive devices you currently use
  • Recent medical reports (if not already provided)
Please leave valuables at home. We recommend not bringing jewelry, large amounts of cash, or other valuable items.

Insurance & Billing Information

We work with all major medical aids and insurance providers. Our admissions team will verify your benefits and explain your coverage before admission.

Medical Aid Members

We accept all major South African medical aids. Authorization from your medical aid may be required before admission. Our team will assist with this process.

Private Patients

For self-paying patients, we'll provide a detailed cost estimate before admission. Payment arrangements can be discussed with our billing department.

Frequently Asked Questions

The admissions process typically takes 24-48 hours once we receive all necessary documentation. In urgent cases, we can often expedite the process to admit patients more quickly.

Yes, we encourage family involvement. Family members can accompany patients during admission and help them settle in. Please see our Family & Visitors page for visiting hours and guidelines.

If you need to cancel or reschedule, please contact our admissions office as soon as possible at 033 815 1600. We understand that circumstances can change and will work with you to find an alternative date.

Yes, we offer both private and semi-private rooms based on availability and your medical aid coverage. Room preferences can be discussed during the pre-admission process.
